Everyone on subTotem, and everything they hold. Removing an account hides it at once — they can't sign in and their page answers 404 like any address that was never there — but nothing is deleted and no file moves, so it can be put back. Deleting for good is a separate step, and only a removed account can be deleted.

0 to 365. 0 means never on its own — a removed account then waits for you to delete it by hand.

Everything except the protected accounts, the waiting list, the genres and their covers, and subTotem's own announcements. Every other account, everything they made, and every file they own. There is no removed stage and no undo: the database can be rolled back, the audio cannot.

    Accounts

    Everyone on subTotem, what they hold, and the two-stage delete: remove first, which hides an account and can be undone, then delete for good.


    Artists

    Core or Pro. Until payments are built, this is the only way an artist goes Pro. Nothing is deleted when an artist moves to Core; what's over its allowance just stops showing to fans.


    Waiting lists

    Everyone waiting for a role that hasn't opened. Inviting a list emails everyone on it once — the moment an email is away that person is stamped, so pressing it again only reaches people who haven't heard yet. Anyone who left a WhatsApp number and no email is listed underneath to be messaged by hand.


    Fan messages

    Private conversations between fans and the artists they follow. Shut to everyone but admins and test accounts until the solicitor has looked at it. A conversation can only be read here once something in it has been reported.

    Email to fans

    Artists' own mailing lists: the sign-up box on artist pages, and Pro's sending. Shut to everyone but admins and test accounts until it's been tried. Sent through Amazon SES, not Resend: the box only appears once SES is set up, and SES needs production access before emails can reach anyone but verified addresses.

    Paying artists

    Everyone owed £5 or more, paid once a month through the bank. A run records what each artist is owed and takes it off their balance straight away, so a run made twice can't pay anyone twice. Download the file, upload it at HSBC, then mark it paid.


    Patronage

    What a month would pay out if the engine ran it. Nothing is written — this only works it out and shows it. Rows marked "not paid for" are the accounts whose tier was set by hand rather than bought, which the real run will leave alone.

    Months recorded

    The job runs on the 1st at 03:00 and records the month just gone. Recording a month twice changes nothing; re-recording replaces that month's rows rather than adding to them. Only months that were actually paid for are recorded.


    Merch shops

    One switch over every artist's shop. Turning it off hides Add to basket across the whole site and refuses checkout — nobody can buy anything from anybody. Each artist's own For sale settings are remembered, so turning it back on puts every shop exactly as it was. Orders already placed aren't touched.

    Genres

    Every playlist a fan can browse. The name is the filter — a genre collects tracks tagged with its name, or with any of its sub-genres'.

    Live tracks, a genre's sub-genres included. 0 shows every genre, empty or not.

    A JSON file shaped {"genres": [{"name": "Pop", "subgenres": ["Synthpop"]}]} — the same file the phone app takes. Nothing is created until you've seen what it would do.


    Unreachable genres

    Sub-genres whose parent has been removed. No fan can reach them, but every client still downloads them.

    Backups

    Every night at 05:00 UK winter time (06:00 in summer), the whole database is saved as a file, and everything artists have uploaded is copied into a second bucket: anything new or changed since the night before. Database files are kept for 30 days; a file deleted here is kept in the backup for 30 days and then goes too, so deleting for good still means it. It's all in the same Cloudflare account, so it covers mistakes, not losing the account.
